Bare room hire looks cheap, until you add it all up: caterer, technical set-up, furniture, welcome staff, coordination, and the hours spent synchronising everything. The turnkey format brings it all into a single quote, with a single party responsible for success: the venue itself.
Allow plenty of room for the flows (cloakrooms, reception, breaks) and be precise on the format: a standing cocktail holds nearly twice as many people as a seated dinner in the same space. And check the flexibility: a good partner absorbs +10 % of participants the day before.
What is included (and what is not), the amendment and cancellation terms, accessibility for people with reduced mobility and transport links, the technical equipment available on site, and who will be physically present on the day.
