The tipping point is technical: as soon as you have speakers, projected slides and a seated audience, you need a control desk and a rehearsal. Plan the running order of the talks, a sound and picture check the day before or that morning, and a fallback for remote speakers. The conference standard (microphones, sound system, screen, on-site support) is included.

Theatre style maximises capacity for a one-way presentation; the U-shape encourages discussion; cabaret style lets you alternate between listening and workshops without moving the tables. Choose the layout according to the format of your conference: and check that the room can switch from one to the other if your day mixes different sessions.
A conference forgives little: a crackling microphone, a slide that will not display, a video call that drops. Insist on recent equipment (4K, calibrated sound) and above all technical assistance present on site, not a number to call.
The quality of a conference is judged from the welcome onwards: cloakroom, coffee, signage, a preparation room for the speakers. A venue with a dedicated reception team saves your organisers from acting as hosts.
Filming turns a one-day event into content that lives for months: internal replay, clips for social media, employer brand video. Plan for it from the brief: lighting and sound are prepared in advance.
